Clozd is seeking a highly organized and proactive Executive Assistant to support members of our C-Suite. In this role, you’ll serve as a trusted partner, ensuring their time, priorities, and communications are managed seamlessly. You’ll handle scheduling, travel, correspondence, and special projects—helping to maximize executive impact and keep the organization running smoothly. This position will be based out of our Lehi, UT office.

What you will be doing:

  • Serve as our C-Suite’s trusted right hand—managing daily calendars, coordinating meetings, and aligning schedules for maximum productivity.
  • Oversee and streamline executive communications, including triaging emails, drafting correspondence, and fielding external inquiries.
  • Organize complex domestic and international travel arrangements; prepare detailed itineraries and coordinate expense reporting.
  • Prepare, proofread, and format documents such as presentations, reports, and briefing materials for executive and stakeholder use.
  • Act as a liaison with internal teams and external partners—scheduling meetings, arranging resources, and ensuring smooth collaboration.
  • Plan and execute high-impact meetings and events, including board meetings, off-sites, and cross-functional workshops.
  • Handle confidential information and communications with the utmost discretion and professionalism.
  • Own ad‑hoc projects—anything from process improvements to onboarding coordination and logistics support.
  • Anticipate executive needs and proactively identify and implement operational efficiencies.

Qualifications:

  • 5+ years in an Executive Assistant or similar high-level support position.
  • Bachelor’s degree in Business Administration, Communications, or a related field (or equivalent experience).
  • Demonstrated ability to support senior leadership—preferably in fast-paced, growth-oriented environments.
  • Exceptional organizational, time-management, and multitasking skills.
  • Superior written and verbal communication ability—with strong attention to detail.
  • Proficiency with digital tools such as email and calendar systems (Google Workspace, Outlook), presentation software (PowerPoint, Google Slides), and collaborative platforms (e.g. Slack, Trello, etc).
  • Discretion handling confidential and sensitive information.
  • Proactive and resourceful mindset—a problem-solver who anticipates needs and identifies opportunities to streamline workflows.
  • Flexible, adaptable, and able to handle last-minute changes with ease.
  • Excellent judgment and a polished professional demeanor—confident in internal/external interactions.

Nice to have:

  • Experience supporting multiple executives or in a cross-functional environment.
  • Familiarity with travel and expense tools (e.g., Bill.com).
  • Event planning and coordination experience.
  • Basic familiarity with CRM systems or project management tools.
