Responsibilities

    Procedural Execution & Facilitation

  • Opening & Closing the Record: Manage the formal commencement and conclusion of the audio/video record by conducting read-ons and read-offs, ensuring adherence to California procedures.

  • Script Adherence:. Conduct proceedings in accordance with established procedural scripts and legal prompts to maintain consistency and accuracy across sessions. Upon contractor’s request, Filevine will provide sample scripts at no additional cost.

  • Court Reporter Collaboration: Work closely and collaboratively with Court Reporters, including coordinating session handoffs and confirming participant readiness before going off or resuming the audio/visual record.

  • Administrative Boundaries: Respect procedural boundaries by only logging required administrative data, as final orders remain the responsibility of the Court Reporter.

  • Technical Management

  • Virtual Environment Oversight: Supervise the virtual Zoom environment, managing breakout rooms, screen sharing, and participant framing.

  • Technical Support: Address real-time technical issues for attendees to ensure a seamless experience throughout the proceeding.

  • Quality Assurance: Monitor audio and video conditions to safeguard the record for transcription and legal purposes.

  • Branding & Presence: Maintain professional standards by managing Zoom display names and introducing yourself appropriately.

  • Administrative & Logistical Support

  • Session Preparation: Prepare for sessions by reviewing deposition notices, providing documentation to the Court Reporter, and alerting Filevine of delays, if any.

  • Attendance & Record Keeping: Ensure accurate record-keeping by collecting attendee details, maintaining precise timestamps throughout each session, managing on/off-the-record transitions, and handling procedural steps that support a seamless legal process.

  • Communication: Facilitate the flow of proceedings with professional and clear communication for all parties involved.

  • Administer oaths: administer oaths for remote and/or virtual proceedings when needed.

  • Outcome Reporting: Track event results accurately and close out administrative scripts once the questioning phase has concluded.

Qualifications

  • Active Notary Public commission in the State of California (required).

  • Technological proficiency with strong experience navigating Zoom features and virtual meetings.

  • Reliable internet connection and a dedicated, professional workspace.

  • Access to a video-enabled computer with modern software capabilities.

  • Outstanding communication and organizational abilities.

  • Ability to follow scripts accurately while adapting to live proceedings.

  • Ability to work during standard business hours (9:00 AM to 5:00 PM PT).

  • Familiarity with standard video conferencing platforms.

  • Bonus: Previous experience in the legal sector or court reporting workflows.
