Responsibilities:

  • Own proposal development end to end writing, editing, and formatting proposal sections and supporting documents, ensuring clarity, consistency, and alignment with solicitation requirements and Filevine's messaging.

  • Ensure compliance reviewing solicitations, amendments, and instructions, and building and maintaining compliance matrices so every submission meets government acquisition regulations and requirements.

  • Run the proposal process developing schedules, outlines, and review gates; managing document version control; and driving the team to on-time, high-quality final production.

  • Leverage AI throughout the proposal lifecycle using LLMs and proposal-specific software to accelerate requirement shredding, first-draft generation, compliance checks, and content reuse — while applying human judgment to ensure accuracy, compliance, and quality.

  • Lead cross-organizational collaboration working with capture leads, sales, product and engineering SMEs, legal, and contracts to gather inputs, clarify technical concepts, and bring the full strength of Filevine into each response.

  • Coordinate and facilitate review cycles running color-team reviews (e.g. Pink, Red, Gold) and reconciling feedback into a clean, cohesive final product.

  • Partner with account executives and capture on win strategy helping identify win themes, discriminators, and value propositions, and integrating them throughout written deliverables.

  • Build and maintain knowledge management (templates, past performance, boilerplate, and style guides) to improve tool accuracy, proposal speed and quality.

  • Continuously improve proposal operations refining process, tooling, and AI workflows as the team scales.

Qualifications:

  • 5+ years of experience writing and managing technical proposals or RFx responses for federal customers.

  • Demonstrated AI literacy and hands-on experience leveraging AI support tools — LLMs and proposal-specific software — to draft, analyze requirements, generate compliance matrices, or manage content, with the judgment to use them well.

  • Strong command of government proposal structures and acquisition frameworks (RFP, RFQ, RFI, IDIQ, GWAC, and similar).

  • Exceptional writing and editing skills, with the ability to translate complex technical concepts into clear, persuasive narrative for technical and non-technical audiences.

  • Experience running compliance matrices, color-team reviews, and full proposal production under tight deadlines.

  • Proven ability to lead cross-functional teams — capture, sales, SMEs, legal — and reconcile many inputs into one cohesive submission.

  • Highly organized and detail-oriented, able to manage multiple concurrent deadlines with a project-management mindset.

  • Familiarity with federal compliance concepts (FAR/DFARS, FedRAMP, security requirements) is a strong plus.

  • The drive to build and continuously improve an AI-enabled proposal operation at the ground floor of a market we are creating.
